The Digital Working Card is now mandatory!

The implementation of the rule will be done by using a work card in a digital attendance clock or a time clock terminal and the data will be transmitted electronically to the ERGANI platform through the EPSILON HR software.Now there will be daily and real-time information of ERGANI II through EPSILON SMART ERGANI for any change in the working time of employees, such as:

• start and end time of work
• start time and duration of the break
• exceeding the legal working hours
• any kind of leave and overtime, etc.

EPSILON SMART ERGANI ADVANCED covers the need for card markings and updating the ERGANI system with the additional possibility of updating the accountant. Card marking requires a timekeeping terminal and this need is equally covered by a special customized system (e.g. tablet) from the only single solution on the market.

EPSILON SMART ERGANI ADVANCED is the ONLY solution on the market that is automatically connected to the vast majority of accounting offices and internal payroll applications. It ensures 100% security for the employer to avoid infringements, while guiding the employee in the correct use of the digital card, in addition to providing the accountant/payroll manager with all the necessary information that contributes to the correct payroll calculation.

For example, the working hours have started and the employee has not swiped a card: The application notifies the employee after e.g. 10 minutes from the entry specified in the declared working hours and thus a very important violation is avoided. The notification is also sent to the employer at the same time. This is an exclusive functionality due to the automatic communication with the payroll application of the accountant or payroll manager of the employer. As this way a comparison is made with the declared digital time sheet.

Suppose the employee swipes the card on a day or time when there are no declared digital timesheets. The application automatically informs the employer and thus the possibility of immediate submission of digital hours (in case of negligence) is provided.

Suppose an employee who starts work at 08.00, comes in and swipes the card at 07.30. The application gives the possibility a) to inform the employer-employee of significant early arrival, b) after configuration, to not accept the sign-off until it is done at an acceptable – with the declared time – time.

Due to the exclusive communication of EPSILON SMART ERGANI ADVANCED with the payroll application, the immediate, complete and correct information of the employer and employees is ensured to the fullest extent by the following methods:

a) directly on the card marking screen (visible by the employee)

b) via email to employer and/or employee

c) via viber/sms message to employer and/or employee.

The application fully meets this obligation, while ensuring direct access to the data, both to the employer and to the payroll application of the accountant or payroll manager.

EPSILON SMART ERGANI ADVANCED connects online with the payroll application of the accountant or payroll manager of the employer and provides exclusive automated payroll calculation processes with parallel possibilities of unlimited customization in timekeeping issues (e.g. management of earlier arrival or later departure).

EPSILON SMART ERGANI ADVANCED, due to the unique advantage of online communication with payroll applications, provides:

• Creation and management of digital working hours (daily, weekly, fixed) with online update of the internal payroll application or external accountant.
• Possibility of direct submissions of Digital Hours (unscheduled or scheduled) in ERGANI II by the user.

This option is also available in standalone mode however such an action carries serious risks for the employer as:

• it does not ensure the comparison of the card hits with the declared digital working time
• it does not ensure that the accountant/payroll manager is automatically informed of any extraordinary changes in the hours or card markings
• it does not provide the payroll application with information on leave/sickness/absence issues with serious risks of omissions or mismatches involving significant penalties
• does not provide any automation in the payroll calculation, which also maximises the obligations of the internal or external accountant/payroll manager.

Based on the declared digital working hours, the declared increments (e.g. overtime) and the declared holidays/sicknesses are provided exclusively through EPSILON SMART ERGANI ADVANCED, which has the unique advantage of automatically sending to the payroll application all payroll data (hours, days, nights, holidays, overtime, leaves, sickness, absences, etc.) through online communication. With this feature, the accountant/payroll manager avoids time-consuming data entry and verification processes.
